How Does a CRM Work?

A CRM works by storing five core entities. Contacts, Companies, Deals, Activities, and Tasks: in a relational database, then layering pipelines, automation, and integrations on top so a team can see customer context and follow up without dropping work.

The data model

Most modern CRMs share the same shape. Five entities sit at the center:

Many CRMs add Custom Objects: anything else your business tracks. A real-estate CRM might add "Properties" and "Showings." A SaaS CRM might add "Subscriptions" and "Plans."

Pipelines explained

Pipelines render deals as a stage-by-stage board. Typical stages for B2B sales: Lead in → Qualified → Proposal sent → Negotiating → Closed-won / Closed-lost. Each stage is a column on a kanban board; each deal is a card you drag between columns.

Pipelines are configurable per CRM. Stage names, weights (a deal at 50% probability counts half), and automation triggers per stage are usually editable at any paid tier. Multiple pipelines run side-by-side: a SaaS business might have a "New customer" pipeline and a "Renewal" pipeline.

Automation triggers and actions

Automation rules pair triggers (something happens) with actions (the CRM does something). Examples:

A typical day for a sales rep in a CRM:

  1. Open the CRM. See the pipeline view of all active deals.
  2. Filter to deals owned by you, sorted by next-action date.
  3. Click into the top deal. See the contact + company + activity history.
  4. Send a follow-up email from inside the CRM (logged automatically).
  5. Update the deal stage if something moved.
  6. Add a task for next follow-up.
  7. Repeat for the next deal.

For a marketing user, the day looks different: automation flows, email campaigns, lead scoring, list segmentation. The CRM is the source of truth for who's in the database and what stage they're in.

What's the difference between cloud CRM and on-premise CRM?

Almost every modern CRM is cloud-hosted (SaaS), you log in via browser, the vendor runs the infrastructure. On-premise CRMs (you install on your servers, manage updates, control data) are now rare; only specific compliance scenarios (some defense, some healthcare) drive on-premise. For most businesses, cloud is the only path.
