What Is Marketing Automation?

Marketing automation is software that runs email campaigns, lead-nurture sequences, and segmentation automatically: without a marketer pressing send each time. When a person fills a form, the system tags them, adds them to a sequence, and tracks their behavior across emails and pages.

The plain definition

A marketing automation platform turns marketing rules into running workflows. Rules like: "when someone downloads our guide, send them email 1, then email 2 three days later, tag them 'Lead' if they open both; notify sales if they hit our pricing page." The marketer designs the workflow once; the system runs it 24/7 across thousands of contacts.

What it actually does

How it differs from email marketing

Email marketing tools (Mailchimp at the basic tier, ConvertKit entry-tier, Constant Contact) send scheduled broadcasts. Marketing automation adds the trigger engine + behavior tracking + lead scoring + segmentation on top. The line is fuzzy because most email tools added marketing-automation features over time.

Practical rule: if you only need scheduled sends to a list, an email tool is enough. If you need branching workflows triggered by behavior, you need marketing automation.

How it overlaps with CRM

Marketing automation manages the top of the funnel: getting leads warm. CRM manages the middle and bottom: converting deals, tracking the sales process. They overlap at the contact record: both systems need to know who your contacts are.

All-in-one platforms (HubSpot, GoHighLevel, Keap) bundle both. Sales-led CRMs (Pipedrive, Close) pair with a separate marketing automation tool. See CRM vs marketing automation for the full comparison.

Tools by category

Pricing tiers

Marketing automation typically scales by contact count. ActiveCampaign Starter starts $15/mo for 1,000 contacts; climbs to $149/mo at 10,000 contacts (Plus and Pro for larger lists). Mailchimp Standard at 500 contacts is $20/mo; at 50k contacts is $300+/mo. All-in-one platforms with marketing automation built in (HubSpot, GoHighLevel) charge a flat platform fee that scales differently.

Frequently asked

What is marketing automation in simple terms?

Software that runs email campaigns, lead-nurture sequences, and segmentation automatically: without a marketer pressing send each time. When a person fills a form, the system tags them, adds them to a sequence, and tracks their behavior across emails and pages.

What's the difference between marketing automation and email marketing?

Email marketing sends scheduled broadcasts to a list. Marketing automation does that AND runs triggered sequences (when X happens, send Y), tracks individual contact behavior across messages, scores leads, and routes them between segments. Email marketing is one feature of marketing automation; marketing automation is the broader category.

What are examples of marketing automation tools?

Standalone: ActiveCampaign, Mailchimp (mid-tier and above), Klaviyo (ecommerce-focused), Customer.io. Built into CRMs: HubSpot Marketing Hub, GoHighLevel, Keap. Enterprise: Marketo, Pardot, Eloqua.

Do I need marketing automation if I have a CRM?

Depends on the CRM. All-in-one CRMs (HubSpot, GoHighLevel, Keap) include marketing automation. Sales-led CRMs (Pipedrive, Close, Salesforce Starter Suite) don't: you'd integrate a dedicated marketing automation tool. See /crm-vs-marketing-automation/.

What does marketing automation actually do day to day?

Runs the 'when someone downloads X, send them email sequence Y over 14 days, tag them based on what they clicked, and notify sales if they hit a behavior threshold' workflow. The marketer designs the rules; the system executes them 24/7 without intervention.
